Assigning Metadata & Credits to a File is the second and final step
in the process of adding a new File into Wiredrive Library. After the
initial step of Uploading Files,
they are stored in the Pending Queue
to await the assignment of Metadata & Credits, which can be done using
one of two methods, Individual Assignment or Batch Assignment.
Individual Assignment, which takes place on the Pending Queue Page,
involves selecting each uploaded File from the File List on the left, then assigning
Metadata and Credits to it in the Assignment Form on the right. If you
will be assigning the same Metadata and/or Credits to multiple Files,
you should use the Batch Assigner method instead.
Steps
- Open the Pending Queue Page by choosing Library > Pending Queue from the main navigation
- On the left side of the window, you should see
a list of the Files that have been Uploaded, but have not yet been assigned
Metadata and Credits. On the right side of the window is the File Assignment
Form. Select a File from the list on the left by clicking on a File Thumbnail
or Filename. The selected File will load into the form to be assigned.
The first File on the current list page will be selected by default.
- In the File Assignment Form, fill out the following information:
- Title
- Make Active (optional): If Active, File will be made available for viewing and addition
to Presentations on the Library Page
- Featured: If checked (Featured), File will be displayed under the
browse option on the Library Page.
- Finish Date (optional): Click on the Calendar Icon to select a date
- Replace Thumbnail: Click on the Browse button to select a File to replace
the current Thumbnail. The File must be an image, preferably a jpg, 480 pixels
wide and 360 pixels high. Once replaced, the old Thumbnail will be deleted.
- Replace File: Click on the Browse button to select a File to replace the current File.
Once replaced, the old File will be deleted. Unless a new Thumbnail is
uploaded, the original Thumbnail will be retained. You can only replace
the File with a File of the same Type.
- Credits:
- Credit Type Group: The group of Credit Types that are available
for this File (this can be changed later in the Library Administration
if needed.) All Credit Types for the selected Group will appear below it.
- Credit Types: All Credit Types for the selected Credit Type Group.
You can assign, reassign, or unassign Credits for any or all of the
Credit Types from the dropdowns, or to add a new Credit to a dropdown, click the
New button next to the dropdown, enter a Name and
Description (optional), then click Submit. Credit Types
with an assigned Credit will appear on a blue background. Credit Types with no
Credit selected will appear on a white background.

- Keywords (optional): Click the Assign button to open
the Keyword Assignment Popup window to assign or un-assign keywords, or add new
keywords to the Keyword Library.
- Assigning Keywords to the File: In
the Keyword Assignment Popup window, click the [
+ ] plus icon next to Keywords in the Existing Keywords list (Keywords
not already assigned to the File) on the left to add them to the Selected
Keywords list (Keywords already assigned to the File) on the right.
- Removing Keywords from the File: In the Keyword Assignment Popup window,
click the [ - ] minus icon next to Keywords in
the Selected Keywords list on the right to add them back to the Existing
Keywords list on the left.
- Adding a New Keyword: In the Keyword Assignment Popup window,
enter a new Keyword in the input at the top of the page, then click the
+Add button. The new keyword will be added to
your Selected Keywords list, and also added to the Keyword Library.
- When finished, click the Done button.
The Keyword Assignment Popup window will close and the Keywords you selected
will display beneath the Assign button.
- Click the Save to Library button
Results
A confirmation message will appear at the top of the window and the
page will refresh. The File you submitted will no longer appear in the
Pending Queue, as it will have been moved into the Library.

To delete a File from the Pending Queue:
Click the [ - ] minus icon to the far right of the File in the File List.
To delete multiple Files from the Pending Queue:
Select the checkboxes next to the Filenames of the Files you want to delete,
then click the Delete button found beneath
the File List.
To delete all the Files from the Pending Queue:
Check the (select all) checkbox in the top row of the File List, to the
left of Filename, then click the Delete button
found beneath the File List.
Caution: Once a File is deleted from the Pending Queue, it is permanently
deleted and will have to be uploaded again to be added to Library.
